Carpet Cleaning App: The Complete Guide for Carpet Cleaning Companies and Their Techs

A carpet cleaning company lives and dies on what happens at the customer's door. The estimate can be perfect and the schedule can be tight, but if the tech walks in without knowing that the stairs were sold, that the cat is not allowed out, or that the van has to park on the street because the driveway is shared, the day starts going sideways. A carpet cleaning app is the piece of software that puts all of that in the tech's hand before the hose comes off the reel.

This guide walks through the tech side of CarpetBossPro from the first login of the morning to the last card charged at the end of the day. Each section links to a deeper guide if you want the details.

Where the Tech App Fits

The tech app is one part of a bigger system. The office builds estimates, schedules jobs, sets up repeat cleanings and sends invoices. The tech app is the field end of all that work. Everything the office knows about a job shows up on the tech's phone, and everything the tech does at the house flows back to the office. For the full picture of the platform, start at the CarpetBossPro carpet cleaning app page, which shows how the tech side connects to dispatch, the Waiting List and billing.

The app runs in the browser on iPhone and Android. Techs can install it to the home screen so it opens like any other app, but there is no app store download and no special device to buy. If a tech already has a phone, they already have what they need.

Logging In and Seeing the Day

Every tech signs in with your company login and their own personal PIN. The PIN ties every job, photo and time clock punch to the right person, so the office never has to guess who cleaned the house on Elm Street last Tuesday.

Once signed in, the tech sees their jobs for the day in route order. That order comes straight from the dispatch board, where the office either sets it by hand or auto-routes it Closest First or Furthest First from the shop. If dispatch moves a job during the day, the tech's list follows. Each card has a navigation button that opens turn-by-turn directions to the address with one tap, so nobody is typing street names into a map with wet hands.

The Job Card

The job card is where carpet work differs from generic field-service software. A carpet job is not just an address. It is a list of areas, a carpet, a method and a way in. In CarpetBossPro, each card shows:

Nobody has to retype these details. When an estimate is approved, its details carry onto the job. When a new job is booked at a home that has been cleaned before, it fills in from that home's last job. The tech sees the same rooms the customer agreed to, which is the first step toward fewer arguments at the door.

The Carpet Cleaning Checklist

Once the tech taps Start, the carpet checklist walks them through the job in the order a good tech already works:

Below the steps, the tech records the rooms cleaned, the estimated dry time, any stains that did not come out, a condition (Good, Needs attention or Repair recommended) and a note for the customer. Add-on steps that were never sold stay hidden, so a tech does not spray protector on a job that did not pay for it, and a paid pet odor treatment does not get forgotten. The office sees the finished checklist on the job.

Photos, Texts and the Three Buttons

Start, Skip and Complete are the three buttons that run the day. Start tells the office the job is underway. Skip moves the job off today with a note explaining why, such as nobody home or no place to park. Complete closes the job and kicks off billing.

Before-and-after photos taken in the app stay with the job. They are useful for the tech's own records and for the office when a customer calls about a spot, and the customer can see them in the customer app. Meanwhile, automatic on-the-way and arrived texts go to the customer as the tech works the route. Customers choose their own alerts: the night before, when they are next, and when the tech arrives. Replies come back to the office through two-way texting, not to the tech's personal phone.

Getting Paid, Clocking Hours and Seeing the Crew

When the tech taps Complete, the invoice is created from the job's line items, and a card on file can be charged right then. Customers without a card on file get the invoice and can pay online from the customer app, and the office handles past-due follow-up. Offices and property managers set to monthly billing get one statement each month covering every address.

The time clock lives in the same app, so techs clock in and out on the phone they already use for jobs. Crew GPS shows each tech on the office map, which helps the office answer “how far out is he?” without calling the van, and helps decide who takes an added job.

Bringing the Crew Along

The best tech app is the one your techs actually use. That means few taps, big buttons and information the tech wants anyway. Helpers and new techs can each have their own PIN, and most techs learn the app in a single ride-along. The guides in this series cover each piece: logging in, route order, the job card, access notes, every step of the checklist, stains, photos, texts, payment, the time clock, GPS and training. When you are ready, go back to the carpet cleaning app overview or try it with a sample company in the live demo. The next guide covers how the app runs on the phones your techs already have: A Carpet Cleaning App That Runs in the Phone's Browser: iPhone, Android and No App Store.
