Past Notes on the Phone: What the Last Carpet Tech Learned at This House
Carpet cleaning has a memory problem. A yearly customer might be cleaned by a different tech every visit, and twelve months is a long time to remember that the hallway has a wine stain that never fully came out, or that the customer wants the furniture put back exactly where it was. Past notes fix that by putting what the last tech learned on the next tech's phone.
What Past Notes Are
Access notes are covered in Access Notes for Carpet Techs: Pets, Gate Codes, Where to Park the Van and Where to Run the Hose. Past notes are their companion: the history of what happened on earlier visits.
In CarpetBossPro, the job card shows past notes from earlier jobs at the same home. When a tech opens the card for this year's cleaning, they can see what was written last time. Access notes say how to get in. Past notes say what happened once the tech was inside.
Why They Matter on Carpet Jobs
Past notes are valuable in any field-service trade, but carpet cleaning gets more out of them than most, because so much of the job is specific to the house:
- Stains with a history. “Hallway: old dark stain, lightened but did not come out. Customer was told.” Next year's tech is not surprised and does not promise what cannot be delivered.
- Customer preferences. “Customer wants shoes off and booties on. Likes the furniture back on tabs, not blocks.”
- The house itself. “Upstairs is Berber, basement is commercial low-pile. Stairs are steep, take the small tool.”
- Things that went wrong. “Breaker trips if portable is plugged into the kitchen. Use the garage outlet.”
Any of those, known in advance, makes the next visit smoother. Discovered on the spot, each one costs time or goodwill.
Where Past Notes Come From
Past notes come from what techs write on jobs. The carpet checklist includes stains that did not come out, a condition and a note for the customer, and the job itself has room for the tech's notes. All of it stays on the job after it is completed. When the next job at that home comes up, it is there for the next tech to read.
That means past notes are only as good as the notes techs leave. A blank note today is a blank past note next year.
Writing Notes the Next Tech Can Use
The best notes are short, specific and written for someone who has never been to the house. A few rules that help:
- Name the room. “Back bedroom, by the closet,” not “one spot.”
- Say what you did. “Pre-treated twice, rinsed, lightened.”
- Say what you told the customer. “Explained it may not come out fully.”
- Skip the obvious. “Cleaned carpet” adds nothing. The checklist already shows that.
- Write it before you leave. In the van, while it is fresh, not at the end of the day.
A tech who writes one useful sentence per job builds a record that makes every future visit easier, including their own.
Reading Past Notes at the Start of the Job
The time to read past notes is in the van, before the walk-through. A tech who has read them can open the conversation with the customer on the right foot: “Last time we noted the stain by the closet. Let's take a look at it together.” That sounds like a company that keeps track of its customers. It is.
Past notes also help the tech spot changes. If the note says “two cats” and there is a new dog, the access notes need updating. If last year's note says the dining room was not included and the customer now wants it, the tech knows to check whether it is on today's card.
Past Notes and New Techs
New techs get the most out of past notes. A new hire on their own for the first time does not know any of your customers. Past notes give them a head start at every house. Combined with the job card and the carpet checklist, they can run a house they have never seen with the confidence of someone who has been there. That is one reason new techs can be productive quickly, covered in Training a New Carpet Tech on the App in One Ride-Along.
Past notes lead straight into the checklist, where the job actually gets done. That is the next guide: The Carpet Cleaning Checklist in the Tech App, Step by Step. For everything else on the tech's phone, visit the CarpetBossPro carpet cleaning app page.
