Hiring Your First Carpet Cleaning Tech and Setting Them Up to Run a Day Without You

Your first hire is the first time your business has to work without you in the room. That is uncomfortable for most owners, and it should be. The goal is not to find someone who cleans exactly like you on day one. It is to find someone you can trust in a customer's home, and then give them everything they need so they do not have to guess.

Why the First Hire Comes Now

For most owners, the first tech arrives with the second van, covered in Adding a Second Van to Your Carpet Cleaning Business: Signs You Are Ready and What Changes. Some hire a helper for their own van first, which is a good way to train someone before handing them the keys.

Either way, the hire changes how the business stores information. Anything a tech needs to know about a job has to be written where they will see it, not passed along in a phone call from the owner while the tech is standing on the porch.

What to Look For

Carpet cleaning skills can be taught. Some things are harder to teach:

Hiring rules, pay and employment paperwork vary by area, so check what applies to you before the first day.

Training With Ride-Alongs

The simplest training plan is the oldest one: they ride with you, then you ride with them, then they go alone. During the first stage, they watch how you walk the home with the customer, move small furniture, pre-vacuum, pre-treat the traffic lanes, treat spots, clean, groom and put furniture back on blocks or tabs. During the second, you watch them do it and keep quiet unless something is going wrong.

Use the same order every time. The carpet cleaning checklist in the CarpetBossPro tech app follows that order, so training and daily work match. The tech checks off each step, and steps like pet odor treatment, upholstery, area rugs, tile, stain protector and deodorizer only appear when they are on the job.

Setting Them Up in the Software

In CarpetBossPro, you add the tech as an employee with a personal PIN and a van assignment. They log in to the tech app with your company login and their PIN, in the browser on their own iPhone or Android phone. There is no app store download, and the app can be installed to the home screen.

Once they are in, their day shows in route order. Each job card has navigation, the address, the carpet job details (rooms, stairs, upholstery, rugs, add-ons, square feet, carpet type and method) and the access notes, such as pets, gate codes, where to park the van and where to run the hose. Past notes from earlier visits are there too. They tap Start, work through the checklist, take before-and-after photos and tap Complete. The customer gets automatic on-the-way and arrived texts.

What They Record for the Next Visit

The end of the checklist is where a good tech makes the next job easier. They record the rooms cleaned, the estimated dry time, any stains that did not come out, a condition (Good, Needs attention or Repair recommended) and a note for the customer. Teach them to write notes for the next tech, not for themselves: “Pull hose through the garage, not the front door” is useful; “garage” is not.

Good notes build the customer history that keeps the business running when people come and go. More on that in Customer History and Notes: Remembering Every Home Your Carpet Cleaning Business Has Cleaned.

Letting Go Without Losing Track

Once they are running alone, you still need to know the day went well. The office sees the finished checklist, photos and notes on each job. Crew GPS shows where the van is on the office map. The time clock in the tech app records hours as they happen. When a job is completed, the invoice is created and a card on file can be charged, so money is not waiting on a tech to drop off paperwork.

Check in at the end of each day for the first few weeks. Ask what was hard, what the customers asked about, and what notes they would add. The next person you hire may be for the office, not the van. For every guide in this series, go back to the carpet cleaning business software page.
