Room Minimums and Trip Charges: Keeping Small Carpet Cleaning Jobs Worth the Drive

Every carpet cleaner has taken the job that should not have been taken: one small bedroom, across town, on a busy day. By the time you have driven there, parked, run the hose, set up, cleaned, groomed, coiled up and driven back, the job paid less than the fuel and the hour it cost. Minimums exist to stop that from happening.

Why Minimums Belong in Your Prices

Your pricing method comes first, and it is covered in Setting Your Carpet Cleaning Prices: Per Room, Per Square Foot or Whole House. A minimum sits on top of that method, whichever one you use.

The reason is simple. A big part of the cost of any carpet cleaning job is fixed. The drive, the setup, the hose run and the breakdown take about the same time whether you clean one room or five. If the price only covers the cleaning, small jobs lose money even when your per-room price is fair.

Three Common Kinds of Minimum

Pick one and stick to it. Using a room minimum on Monday and a dollar minimum on Thursday confuses your office and your customers.

Putting the Minimum Into Your Service List

A minimum that only lives in the owner's head gets forgotten the first time someone else quotes a job. Put it in writing in your service list. In CarpetBossPro, estimates are built from your service list, so a minimum or trip charge can be its own line item that the office adds when the job is small. Estimate templates for common small jobs, like a single room plus a chair, can include it from the start.

When the customer approves the estimate online, the approved estimate becomes the scheduled job, and the minimum carries onto the job and the invoice.

Explaining It Without an Argument

Most customers accept a minimum when they hear why. A short, plain explanation works:

The second one is the useful trick. A customer paying the minimum often has room for something else at little or no extra charge to them, like the hallway or a small area rug. That turns a complaint into a good deal and fills the time you are already there. It also introduces the customer to services they may book next time. Offering add-ons honestly is covered in Upselling Carpet Cleaning Add-Ons Without Being Pushy.

Using the Map to Avoid Small Jobs Across Town

The other way to make a small job worth it is to put it next to other jobs. A single room is a bad stop across town on its own, and a fine stop between two whole-house jobs on the same street.

In CarpetBossPro, the Waiting List shows every home that came due and every new request on a live map, so you can see where the small request sits compared to everything else. Instead of booking it the first day the customer asks for, offer the day a van is already in that area. On the dispatch board, auto-route sorts the day Closest First or Furthest First from the shop, so the small stop slots in where it costs the least drive time.

Some owners lower or waive the trip charge when the customer is flexible on the day. That gives the customer a reason to wait for the van to be nearby.

When to Bend the Rule

Minimums are a rule, but you own the business. A yearly customer who usually books the whole house and only needs one room this time is worth keeping happy. A property manager who sends steady turnover work does not need a trip charge on every small unit. Write down when the office can waive the minimum so the decision is not made differently each time.

Minimums protect the day. The next step is making sure the customers who do book come back every year. For every guide in this series, return to the carpet cleaning business software page.
