Crew GPS on the Office Map: Knowing Where Every Carpet Cleaning Van Is

“Where's Van 2?” In a lot of carpet cleaning offices, the answer is a phone call to a tech who is in the middle of a staircase with the wand in one hand. The tech stops, pulls off a glove, answers, and loses a few minutes. Do that several times a day across a couple of vans and it adds up, for the office and the crew.

Crew GPS puts the answer on the office map instead.

After the Texts, the Map

The last guide, Night-Before Reminders: Getting Furniture Cleared and Pets Put Away Before the Van Arrives, covered keeping the customer in the loop. Crew GPS keeps the office in the loop.

In CarpetBossPro, techs use the tech app on their phones, and crew GPS shows on the office map. The office sees where each tech is without calling anyone.

Answering Customers Without Calling the Van

The most common use is the simplest: a customer calls asking when the crew will arrive. Most of the time, automatic texts and the customer's live route map answer that question before they call. When they do call, the office can look at the map, look at the dispatch board, and see where the van is and which jobs on its route are already done.

“They're finishing up two stops before you and should be there in about an hour” is a better answer than “let me call them and call you back.”

Sending the Closest Van

When a same-day spill or pet accident call comes in, the first question is which van can get there. Crew GPS shows where each one is right now. Combine that with the dispatch board, filtered by van, and you can see both who is closest and who has room left in their day.

The closest van is not always the right one. A van in the middle of a whole-house job with more stops after it may be closer than a van finishing its last small job across town. The map tells you where. The board tells you how busy. Same-day calls are covered in Same-Day Spill and Pet Emergencies: Fitting Urgent Carpet Cleaning Jobs Into a Full Day.

Seeing When the Day Is Slipping

GPS plus the job statuses on the board give the office an early warning. As techs tap Start and Complete in the tech app, the board shows what is underway and what is done. If it is two in the afternoon and a van is still on its second job of five, the office knows the last customers are going to be late, and can text them before their windows open instead of after.

That is the moment to decide whether to push a job to another day or ask a later customer if a different day works better.

Settling Questions After the Fact

Now and then a customer says the crew never showed, or showed up much later than they did. The job statuses on the board, the time the tech tapped Start and Complete, the arrived text and the before and after photos together give the office a clear picture of what happened. Most of the time that ends the conversation politely, and when the crew really was late, the office knows it and can make it right.

The Owner in the Field

Many carpet cleaning owners are in the field themselves, running a van or doing estimates. Crew GPS works for them too. From a phone between jobs, the owner can see where the other van is and whether the day is on track, without texting the tech to ask.

What GPS Is Not For

Crew GPS is a tool for running the day, not for watching over techs' shoulders. Techs work better when they know the map is there to send help, answer customers and fit in urgent jobs, not to catch someone taking a lunch break. Explain it that way when you set up the tech app. The time clock in the tech app records hours as they happen, which is the right tool for hours.

GPS on the Customer Side

Customers get their own view of the route. In the customer app, they see today's route on a live map with their place in line, such as “You're stop 3 of 6 — the crew is 2 stops away.” The office sees every van; each customer sees their own place on the route. Both views come from the same day's schedule.

One Map for the Office

Crew GPS turns “where is everybody” from a phone call into a glance. The office answers customers faster, sends the right van to urgent jobs, and spots slipping days early.
