Quoting a Yearly Carpet Cleaning Plan Instead of a One-Time Clean
Most residential carpet cleaning customers come back. The question is whether they come back to you, and whether you have to win them over again every year. A yearly or every-six-months plan, quoted from the start, turns a one-time customer into a repeat one without another sales call.
From Many Addresses to Many Visits
Clients with several addresses get their own approach, covered in Quoting a Client With Several Addresses: Rentals, Offices and One Monthly Statement. A yearly plan is the same idea stretched over time instead of across properties: one customer, one address, many visits.
Offer the Plan on the First Quote
The best moment to mention a plan is when you send the first estimate. The customer is already thinking about clean carpet. A short line does it: “Most of our customers have us back once a year. If you'd like, we can put you on a yearly cleaning so you don't have to remember to call.”
Some customers will say yes right away. Others will wait until they see the results. Either way, they know the option exists.
What to Include in a Plan
Keep plans simple. A plan is usually:
- The same scope each visit. Whole house, or the main rooms, stairs and hallway.
- A set frequency. Yearly or every six months are the most common. Homes with pets or kids often prefer every six months.
- A price per visit. Your normal price, or a small plan discount if you want to reward the commitment.
- Optional add-ons. Protector or pet odor treatment can be on every visit or added as needed.
Put plan services on your service list with clear names, such as “Yearly whole-house cleaning.” The customer sees exactly what they signed up for.
How Plans Work in CarpetBossPro
Repeat cleanings are set by minimum days between visits. A yearly plan comes due once that many days have passed since the last cleaning. An every-six-months plan comes due twice a year.
When a cleaning comes due, the home shows up on the Waiting List, a live map and list of every home that is due. Pins are colored by status: not due yet, due now, or overdue past a 7-day grace. You can fill a day by area, grouping due homes in the same neighborhood onto one route.
Because the new job fills in from the home's last job, the rooms, carpet type, method and access notes are already there. Nobody needs to re-quote unless the scope or price changes.
Signing Up Without a Custom Quote
Not every plan needs a quote. Customers can sign up for services and pricing, such as a yearly cleaning plan, in the customer app. Your website sign-up form captures their card, and one click converts a sign-up into a client.
For customers who already know your work, that is often the easiest path. For new customers with unusual homes, a regular estimate first and then the plan is safer, so the plan price is based on the real house.
Reminders and Payment
Plan customers still get the same communication as anyone else: a reminder the night before, a text when they are next and a text when the tech arrives, depending on the alerts they chose. Card on file makes payment simple. When the tech taps Complete, the invoice is created and the card on file can be charged, either on completion or on a schedule.
Customers can update their card, see invoices and pay in the customer app, and see before/after photos from each visit.
Re-Pricing Plans Over Time
Your costs will change, and plan prices should keep up. When you review your service list each year, review plan prices too. Let plan customers know ahead of time if their price is changing, by text or email, before the next visit comes due. Re-quoting repeat customers is covered in Re-Quoting Repeat Carpet Cleaning Customers Without Starting From a Blank Estimate.
Being upfront about price changes keeps plan customers on the plan. Surprising them on the invoice does not.
Plans for Commercial Customers
The same approach works for business customers, just more often. A small office might want carpet maintenance monthly, with a deeper cleaning once or twice a year. Set the minimum days between visits for each service, and both come due on their own. For an account set to Monthly, every visit lands on one statement each month.
Quote business plans with the frequency and price per visit spelled out, so the customer knows exactly what the year looks like before they approve.
Every Quote Is a Chance at a Plan
A yearly plan means a customer you do not have to win again. Offer it on the first estimate, keep the plan simple, let minimum days between visits bring each cleaning due on the Waiting List, and let the job fill in from last time.
