Rooms, Square Feet, Carpet Type and Method: The Job Details Carpet Cleaning Software Should Keep
Every carpet job starts with the same questions. Which rooms? How big? What kind of carpet? How are we cleaning it? Anything extra? Where do we park? The answers decide how long the job takes, what goes on the truck, and what the customer pays. Software that cannot hold those answers in a clear, consistent place is just a calendar.
From the Paper Ticket to the Job Record
The move from tickets to software is covered in Moving a Carpet Cleaning Company Off Paper, Whiteboards and the Notebook in the Van. The paper ticket had a few lines for rooms and a box for notes. This article is about what replaces it.
In CarpetBossPro, every job and every estimate has a carpet job details section. It is built from checkboxes and short fields, not a blank text area, so the office fills it in the same way every time and the tech reads it the same way every time.
What Is Being Cleaned
The first group of checkboxes is the areas and items on the job:
- Bedrooms, Living Room, Family Room, Dining Room
- Hallway, Stairs, Office, Basement
- Whole House
- Upholstery, Area Rug, Mattress, Tile & Grout
Checking boxes sounds small, but it ends the most common argument in carpet cleaning: “I thought the hallway was included.” If Hallway is checked, it was. If it is not, it was not, and the tech can offer to add it on the spot. The same list shows on the estimate, the job, the tech's phone and the record of past jobs.
Square Feet and Number of Rooms
Carpet companies price in different ways. Some charge per room, some by square foot, some by the whole house. The job details hold both numbers — square feet and number of rooms — so whichever way you price, the measurement is on the job.
These numbers also help the office schedule. A two-room job and a 2,200-square-foot whole house are not the same amount of van time. When the size is on the job, the person filling the day can see which jobs are big and leave room for them. If you build estimates from measurements, services can be priced off the property's square feet or rooms; that side is covered in Estimates in Carpet Cleaning Software: Per Room, Whole House and Everything Extra.
Carpet Type
The carpet type is a single pick from a short list:
- Plush / Cut Pile
- Berber / Loop
- Frieze
- Wool
- Nylon
- Polyester
- Commercial Low-Pile
- Area Rug Only
Experienced techs adjust their approach to the fiber and construction in front of them. Knowing it before walking in means the right tools and the right expectations are ready. It also helps when the customer calls back next year: the office can see what kind of carpet is in the house without asking.
Cleaning Method
The method is another short pick: Hot Water Extraction, Low-Moisture, Encapsulation or Dry Compound. Many residential jobs will be hot water extraction from a truck-mount or portable. Commercial maintenance accounts often run on low-moisture or encapsulation so offices can be back in use sooner.
Recording the method matters for two reasons. The tech knows what equipment the job needs. And when a customer asks why this visit felt different from the last one, the office can look at the record and answer.
Access Notes
The last part of the job details is access: pets, gate code, where to park the van and where to run the hose. For a truck-mount, the parking spot and hose route are not small things. A note like “Park on the street, driveway is too steep; hose goes through the side door, not the front” saves a lot of time on the first visit and every visit after. Access notes get their own article, Pets, Gate Codes and Where to Run the Hose: Access Notes in Carpet Cleaning Software.
Details That Follow the House
The best part of keeping details this way is that they do not have to be entered twice. A new job at a home fills in from that home's last job. When an estimate is approved, its details carry onto the job. The tech sees the details on the job card on their phone, and the office sees them on the dispatch board and the job record.
Good details are the foundation for everything else the software does: the checklist, the invoice, the repeat cleaning a year from now. To see how they connect to the rest of the system, visit the CarpetBossPro carpet cleaning software page.
