Truck-Mount Owner-Operators: Running the Whole Business From the Van

A truck-mount owner-operator's office is the driver's seat. The schedule is on the phone. The estimates get written at red lights. The bookkeeping happens on the tailgate while the hoses drain. Software for this kind of business has to work from that seat, on that phone, in the few minutes between one job and the next.

Building on the One-Van Setup

Much of what is in Carpet Cleaning Software for a One-Van Company applies here. This article focuses on what makes the truck-mount owner-operator different: the van is the business, and the details around the van matter on every job.

Parking and Hose Notes Are Everything

With a portable, you can carry the machine to the door. With a truck-mount, the van has to be close enough for the hose to reach, and the hose has to get from the van to the carpet without damaging anything on the way. Getting this right is the first ten minutes of every job.

CarpetBossPro keeps access notes on each address, including where to park the van and where to run the hose. On the first visit, write down what worked: “Park in the driveway behind the customer's truck. Hose through the garage, laundry room door, then the hallway.” Next year, it is on the job card before you pull up. If you hire a helper, they read the same note.

For apartments and townhouses, the notes matter even more: which lot, which door, which floor, how long the hose run is. A note that says “third floor, need the long hose” tells you what to load before you leave the shop.

The Office Lives on the Phone

Everything an owner-operator needs runs in the browser on the phone. The office side — schedule, clients, estimates, invoices, texting — works on the same phone as the tech app. Between jobs, the owner can:

None of it needs a laptop. All of it can wait for the engine to cool down.

The Job Itself, on the Same Phone

On the job, the owner-operator uses the tech app like any tech: jobs in route order, navigation, the job details and access notes, past notes, the carpet cleaning checklist, before and after photos, and Start / Skip / Complete. Customers get automatic on-the-way and arrived texts without the owner typing anything.

The checklist is worth using even when you are the only one in the van. It keeps your routine the same on the tenth job of the day as on the first, and it leaves a record. When a customer calls next week about a spot, you can open the job and see what you noted — rooms cleaned, dry time, stains that did not come out, condition. The checklist is covered in The Carpet Cleaning Checklist: From Walk-Through to Furniture Back on Blocks.

Routing to Save Fuel and Time

A truck-mount van is heavy and expensive to drive around. Auto-route on the dispatch board can order the day Closest First or Furthest First from the shop. Furthest First suits days when you want to end near the shop to dump and refill. Closest First suits days when the last job is near home.

Filling days by area from the Waiting List cuts the driving even more. Five due customers in one neighborhood is a full day with short drives between them.

Paid at the Curb

When the job is complete, the invoice is created and the card on file can be charged. The customer gets the invoice and can see the before and after photos in the customer app. By the time the hoses are back on the reel, the job is paid. No receipt book, no Friday-night billing, no checks to deposit.

Ready for a Second Van

Many owner-operators eventually add a helper or a second van. When the business already runs in software, that step is smaller. The new tech gets a personal PIN and a van assignment, sees their own jobs on their own phone, and reads the same access notes the owner wrote. The owner can see their progress and crew GPS on the office map. That growth path is covered in Growing From One Van to Three: What Carpet Cleaning Software Has to Handle.
