Setting Carpet Cleaning Route Order by Hand When a Customer Needs a Certain Time

A map can tell you which house is closest to the shop. It cannot tell you that the woman on Maple Street works from home until noon and asked to be last, or that the vacant rental has to be finished before the property manager walks it at two. That knowledge lives in the office, and route order by hand is how you put it on the schedule.

Auto-Route First, Then Adjust

The last guide, Auto-Routing Carpet Cleaning Jobs: Closest First or Furthest First From the Shop, covered getting a sensible order in one click. Hand ordering is the second step, not a replacement.

The pattern that works for most carpet cleaning offices is simple: filter the dispatch board to one van and one day, auto-route, then move the few jobs that have a time constraint to the spot they need. The rest of the day stays in the routed order, so the van still drives a reasonable path.

Customers Who Need to Be First

The most common reason to move a job is a customer who has to be first:

Move that job to the top of the van's order. If two customers both need to be first on the same van, that is a sign one of them belongs on another day or another van.

Customers Who Need to Be Later

The other direction comes up just as often. A customer who works from home until noon, a family that gets back from school pickup in the afternoon, or a homeowner who can only get away from work after lunch. Move those jobs toward the end of the day.

Be careful promising late slots on a day full of big jobs. If the morning has a whole house and a sectional, the afternoon customer is the one who waits when things run long. Their arrival window should reflect that.

Deadlines: Move-Outs and Offices

Some jobs are not about preference. They are about a hard deadline:

Put deadline jobs where they fit with time to spare, not where they barely fit. Move-out deadlines get their own guide later in this series, in Move-Out Carpet Cleanings on a Deadline: Scheduling Before the Walk-Through.

Write Down Why

When a job is in a particular spot for a reason, put the reason where everyone will see it. A note on the job like “Customer must be first, leaves at 10” tells the next person building the schedule not to move it, and tells the tech why the route starts across town.

For repeat customers who always need the same thing, put it in the access notes on the address. A yearly customer who always wants the afternoon will want it next year too, and the new job fills in from that home's last job, so the note carries forward without anyone re-typing it.

Changes During the Day

Route order is not frozen once the van leaves. A customer calls to say they are running late, or a job finishes early and the next one is not ready. The office can move jobs on the board during the day, and the tech's list follows on the phone.

When you move a job mid-day, let the affected customers know. Two-way texting from the office makes that a quick message instead of a phone call, and the customer app's live route map shows their updated place in line.

Keep Hand Edits to a Minimum

Every job you move by hand pulls the route a little away from the shortest path. One or two moves a day is normal. If you find yourself reordering most of the day, the problem is usually upstream: jobs from different areas booked on the same day, or too many customers promised a specific time. Building days by area and offering arrival windows instead of exact times both cut down on hand edits.
