Quoting Commercial Carpet by the Square Foot From the Property Measurements
Residential carpet is usually priced by the room. Three bedrooms, a living room and a hallway, done. Commercial carpet rarely fits that model. An open-plan office has no “rooms” to count, and a lobby the size of a small house is still one area. That is why most commercial work is quoted by the square foot.
Why Commercial Work Is Priced by Area
Retail stores are one example of open spaces that do not fit room pricing, as covered in Retail Store Carpet Cleaning: Before Opening, After Close and Between Seasons. This guide covers how to price those spaces, and every other commercial account, by area.
Square-foot pricing is fair to both sides. The client pays for the amount of carpet you actually clean. You get paid more for a big space and do not overcharge a small one. It also scales cleanly: the same price per square foot covers a small office and a large one.
Measurements Live on the Property
In CarpetBossPro, each address can hold its measurements: square feet, linear feet and number of rooms. Services can be priced from those measurements. Set up a commercial service in your service list with a price per square foot, and the estimate for any address pulls in that address's square footage to calculate the line.
That means you measure once. When the office suite comes up for its next quote or its next recurring visit, the square footage is already there. If the client expands into the suite next door, update the measurements on the address and future estimates follow.
Measuring Commercial Spaces
Good measurements make good quotes. On the walk-through:
- Measure only carpet. Subtract tile entries, kitchens and restrooms. A floor plan from the building manager helps, but check it against what you see.
- Break up mixed areas. If the lobby gets cleaned monthly and the back offices quarterly, measure them separately, since they will likely be separate addresses or separate lines.
- Note what is under furniture. Cubicle rows, fixed shelving and heavy furniture affect how much carpet you can actually reach.
- Record carpet type and method. Commercial Low-Pile with encapsulation is a different job from a wool area in a partner's office.
Building the Estimate
Estimates in CarpetBossPro are built from your service list. For a commercial quote, a typical estimate might include:
- Office maintenance cleaning, priced per square foot from the address.
- Spot removal for problem areas, as its own line.
- Stain protector or deodorizer in high-use areas, when requested.
- Stairs or hallways priced separately if they are not part of the main area.
Estimate templates save time when you quote similar spaces often. A template for “monthly office maintenance” or “apartment common-area hallways” gets you most of the way to a finished quote.
Carpet job details on the estimate — areas, square feet, carpet type, method and access notes — carry onto the job when the estimate is approved, so what you quoted is what the tech sees.
Online Approval and Follow-Up
Send the estimate and the client approves it online. For commercial clients, that usually means an office manager or property manager clicking approve from their desk, without printing or signing anything. The approved estimate becomes the scheduled job.
Commercial decisions often take longer than residential ones. The office manager may need to check with the owner, or a facilities person may need a budget sign-off. Estimate follow-up emails remind the client about quotes that have not been approved, so a good lead does not quietly go cold.
Pricing Recurring Work
For recurring commercial visits, many companies quote a per-visit price from the square footage, then set the address on minimum days between visits. Every visit after that carries the same line items, so the monthly price stays consistent.
Some companies price recurring maintenance lower per square foot than a one-time deep clean, because the carpet is in better shape each time. That is a business decision for you. The software just needs the right service and price on the estimate. For the full picture of recurring scheduling, see Minimum Days Between Visits: Scheduling Recurring Commercial Carpet Cleaning.
Quotes That Hold Up
A commercial quote based on real measurements, clear line items and a method written on the job is one the client can trust and you can stand behind. When the next visit or the next account comes along, the measurements are already there. For the rest of the commercial tools, visit the CarpetBossPro commercial carpet cleaning software page.
