Crew GPS and the Time Clock on Night Office Carpet Routes
When the night van leaves the shop at 6pm, most owners spend the evening wondering. Did the tech get into the first building? Are they on stop three or still stuck at stop one? When did they actually start? Without a way to see, the only option is a phone call, and nobody wants to call a tech who is in the middle of a wand stroke.
The Owner's Night-Time Questions
Setting up the night van's route is covered in One Van on Homes, One on Commercial After Hours: Splitting the Dispatch Board. This guide is about keeping track of that van once it is out.
Night commercial work is the hardest work to supervise. The office is closed. The clients are gone. The owner may be home, or may be running a late residential job. Two simple tools in CarpetBossPro answer most of the questions without a call: crew GPS on the office map, and the time clock in the tech app.
Crew GPS on the Office Map
Crew GPS shows where each crew is on the office map. For the night van, that means the owner or office manager can open the map and see whether the van is at the first building, on the way to the second, or heading back to the shop.
Combined with the job statuses on the dispatch board, the picture is clear: three stops completed, the van sitting at the fourth address, and that job marked started. No call needed.
GPS also helps when plans change. If a building manager calls at 7pm asking whether the crew can come back tonight, the office can see where the van is and whether the detour makes sense.
The Time Clock in the Tech App
Techs clock in and out on the same phone they use for their jobs. They log in with your company login and their personal PIN, so every clock-in belongs to the right person. Hours are recorded as they happen instead of written on a sheet at the end of the week.
For night routes, the time clock answers questions owners and clients both ask:
- When did the shift start and end? Useful for payroll, and for planning how much work a night can hold.
- How long did the route take? If the same four suites keep running long, the price or the route may need another look.
- Was the crew on site when the client says? If a building manager asks, you have a record.
Job Status Fills In the Rest
On each job, the tech taps Start when they begin and Complete when they finish, or Skip with a note if they cannot do it. The office sees those statuses on the board. Along with GPS and the time clock, that gives a full picture of the night: when the tech started, where they went, which jobs are done, and which were skipped and why.
When a job is completed, its finished checklist and before-and-after photos are on the job right away. By morning, every stop on the night route has its record waiting for the office.
Using It Fairly
GPS and the time clock are tools for running the business, not for hovering. Night techs work alone, often late, and usually do good work without supervision. Tell your crew what the office can see and why: to answer client questions, to plan routes and to know where help is needed if something goes wrong. Techs who know the tools protect them too — a time clock record is the easiest way to show they were where they said they were.
It also matters for safety. A tech working alone in an empty building at night is easier to check on when the office can see the van on the map.
Planning Better Night Routes
Over a few weeks, the time clock and job history show how long each commercial stop really takes. An office you quoted as a two-hour job that keeps taking three hours shows up quickly. That is useful information when you re-price the account, or when you decide how many stops to put on a night.
It also helps you decide when to grow. If the night van is consistently running past midnight and the Waiting List still shows overdue commercial pins, it may be time to add another van or another night. Recurring visits are covered in Minimum Days Between Visits: Scheduling Recurring Commercial Carpet Cleaning.
Quiet Nights, Clear Mornings
The goal is a night the owner does not have to think about, followed by a morning where everything is already recorded. Crew GPS, the time clock and job statuses get you most of the way there. For the rest of the commercial tools, visit the CarpetBossPro commercial carpet cleaning software page.
