Crew GPS on the Office Map: Knowing Where Every Carpet Cleaning Van Is

“Where's the van?” is the question an office manager at a carpet company hears most. The customer wants to know when the tech will arrive. The owner wants to know who can take the emergency pet stain call across town. The tech is up to their elbows in a sectional and not answering the phone. Crew GPS answers the question without anyone calling anyone.

The Tech's Phone on the Office Map

Clocking hours is covered in The Time Clock in the Carpet Cleaning Tech App. Crew GPS is its partner: the time clock says who is working, and the map says where.

With the CarpetBossPro tech app running on the tech's phone, their location shows on the office map. The office sees each crew on the same map as the day's jobs, so it is easy to tell who is at which house and who is between stops. There is no separate tracking device to install in the van. The tech's phone already has GPS, and the app uses it.

For this to work, the browser needs permission to use the phone's location. Set that up during the first ride-along, along with installing the app to the home screen.

Answering Customers Without Calling the Tech

The most common use of crew GPS is the customer call. “The tech was supposed to be here at ten.” Without GPS, the office calls the tech, who is in the middle of a job, who guesses. With GPS, the office looks at the map, sees the van two stops away, and tells the customer the truth.

Many customers will never need to call at all. Automatic on-the-way and arrived texts, plus the live route map in the customer app, tell them where they are in line. But for the ones who call, the office has the answer on the screen.

Adding Jobs to the Day

Carpet companies get same-day calls: a pet accident, a spill before a party, a property manager with a unit that has to be ready tomorrow. Fitting one of those in is much easier when the office can see where every van is.

Look at the map, find the van closest to the new address with room in its afternoon, and add the job to that van's route on the dispatch board. The tech's list updates, and the navigation button gets them there. A quick text or call to the tech for a big change is still a good idea, but the office is making the decision with real information.

Keeping the Day on Track

GPS plus the Start and Complete buttons give the office a live picture of the day. A van that has been at the same house for much longer than the job should take might be dealing with a bigger job than expected, or a problem. The office can check in, warn the next customers or move a later job to another van.

At the end of the day, comparing where the vans went to how the route was planned can show patterns. If one van keeps crossing town, it might be time to rethink how jobs are assigned by area, which the Waiting List map makes easier.

What GPS Is Not For

Crew GPS is a tool for running the day, not for watching every move. Techs are more comfortable with it when the owner is clear about what it is for:

Tell the crew that up front. Most techs like that the office stops calling them every hour to ask where they are. For more on bringing the crew along, see Getting Carpet Techs to Actually Use the App: What Works on a Real Crew.

Customers See the Route, Not the Tech

The customer app shows customers their place in today's route on a live map, like “You're stop 12 of 20 — the crew is 5 stops away.” That is what customers need to plan their morning. It is built to tell them how close the crew is to their stop, so they know when to put the dog away and open the garage for the hose.

The next guide covers what the office sees when each job is finished: What the Office Sees When a Carpet Tech Completes a Job. For the full tech app, visit the CarpetBossPro carpet cleaning app page.
