What the Office Sees When a Carpet Tech Completes a Job
For the tech, Complete is the end of a job. For the office, it is the start of everything that comes after: billing, customer questions, the next visit and sometimes a follow-up. What the office sees the moment that button is tapped decides whether those things run smoothly or turn into a string of phone calls to the van.
From the Field to the Desk
Knowing where the vans are is covered in Crew GPS on the Office Map: Knowing Where Every Carpet Cleaning Van Is. This guide is about what the office knows once a job is done.
When a tech taps Complete in the CarpetBossPro tech app, the job is marked done on the dispatch board, and everything the tech recorded is on the job in the office. Nobody has to drop off a paper ticket at the end of the day or type in notes from a clipboard.
The Finished Checklist
The office sees the finished carpet checklist on the job. That includes each step the tech checked:
- Walk-through with the customer
- Small furniture moved, pre-vacuumed, traffic lanes pre-treated, spots and stains treated
- Pet odor treatment, if it was on the job
- Carpet cleaned, plus upholstery, area rug or tile if on the job
- Stain protector or deodorizer, if on the job
- Carpet groomed, furniture back on blocks or tabs
- Final walk-through with dry time explained
Then the records: rooms cleaned, estimated dry time, stains that did not come out, the condition (Good, Needs attention or Repair recommended) and the note for the customer.
That is a full account of the visit in a few lines. When a customer calls with a question, the office can answer it from the job instead of calling the tech.
Photos and Notes
The before-and-after photos the tech took stay with the job. The office can open them to see the traffic lanes, the stains and the upholstery. Any notes the tech left, such as a customer asking to add a room or a changed gate code, are on the job too.
Those notes are the office's to-do list. A request to add the loveseat becomes a line item. A new gate code goes into the access notes so the next visit has it. A “Repair recommended” condition might turn into a follow-up call or an estimate if your company does that work.
The Invoice
Complete creates the invoice from the job's line items, with sales tax. If the customer has a card on file and auto-charge on completion is on, the card can be charged. If not, the invoice is waiting in the customer app for online payment, and past-due follow-up helps the office keep after unpaid ones. For monthly accounts, the job lands on that client's monthly statement instead.
The office should still glance at completed jobs with notes about changes, such as added or dropped rooms, so the invoice matches the work. Payment at completion is covered in Charging the Card on File When the Carpet Tech Taps Complete.
The Next Visit
For repeat customers, Complete also starts the countdown to the next cleaning. Each repeat plan has a minimum number of days between visits, such as a yearly or every-six-months whole-house plan, or monthly office carpet maintenance. When enough days have passed, the home comes due on the Waiting List on its own, shown on the live map with pins colored by status: not due yet, due now, or overdue past a seven-day grace period.
When the office books that next visit, the new job fills in from this one: the rooms, carpet type, method, add-ons and access notes. The notes and checklist from this visit become past notes for the next tech.
Skipped Jobs
The office sees skipped jobs too, each with the tech's note saying why. “Nobody home” means a text to the customer and a new day. “No place to park within hose reach” might mean a call to work out a plan, and an update to the access notes. Skips do not disappear. They wait for the office to act. See Start, Skip, Complete: The Three Buttons That Run a Carpet Cleaning Day.
A Quieter Phone for Everyone
Put together, the office ends the day knowing what was done, what was said, what was billed and what comes next, without a single “hey, quick question” call to a tech halfway up a flight of stairs with a wand in hand.
