Stains That Did Not Come Out: Recording Them in the Carpet Tech App Before the Customer Calls

Every carpet cleaner knows some stains will not come out. Old dyes, set-in spills and spots that were treated with the wrong product years ago can lighten without disappearing. The stain itself is rarely the problem. The problem is the phone call two days later from a customer who expected it gone, and an office that has no idea what the tech saw or said.

A Line on the Checklist for It

The upholstery, rug and tile steps are covered in Upholstery, Area Rug and Tile Steps on the Carpet Tech's Checklist. Whatever was cleaned, the checklist ends with a few records the tech fills in, and one of them is stains that did not come out.

In CarpetBossPro, this is its own field on the carpet checklist, next to the rooms cleaned, the estimated dry time, the condition and the note for the customer. It is not buried in a general notes box. Having its own place tells techs that recording these stains is part of the job, not an admission of failure.

What a Good Stain Record Says

A useful record answers three questions in a sentence or two:

Add what the customer was told: “Showed customer at final walk-through.” That last part is what matters most when the phone rings.

Keep the language plain and factual. “Did not come out” is fine. There is no need for technical terms or guesses about what will happen later.

Photos Make the Record

A stain record is much stronger with photos. A before photo taken during the walk-through and an after photo taken at the end show exactly how much it improved. Photos taken in the app stay with the job, and the customer can see before-and-after photos in the customer app.

For stains, a few tips:

Photos are covered in more detail in Before-and-After Photos From the Carpet Tech's Phone, Shown to the Customer in Their App.

Say It Before You Clean

The best time to talk about a hard stain is the opening walk-through. A tech who looks at a spot and says, “This one has been here a while. I'll work on it, but it may only lighten,” has set an honest expectation. At the final walk-through, the tech shows the result and the customer is not surprised.

The same words after cleaning, with no warning, sound like an excuse. The checklist cannot make that conversation happen, but having the stain field and the walk-through steps right there is a reminder to have it.

Condition and the Note for the Customer

Some stains are a sign of something more. A spot that keeps coming back, a stain with wear around it or a discolored area that looks like it is in the fiber are worth flagging in the condition field. CarpetBossPro gives three choices: Good, Needs attention and Repair recommended. A stained but otherwise healthy carpet is usually Good or Needs attention. An area with damage might be Repair recommended.

Then the note for the customer pulls it together in plain words: “Cleaned three bedrooms and hallway. Stain by the master closet lightened but did not come out fully. Keep traffic light until dry.” That is covered in The Note for the Customer: Dry Time, Condition and What to Expect After the Carpet Tech Leaves.

When the Customer Calls

When the customer calls two days later, the office opens the job and sees the finished checklist: the stain recorded, where it is, what was tried, the before-and-after photos and the condition. The conversation goes from “let me find out and call you back” to “I can see the tech noted that spot and showed you at the end.” The office can still offer a return visit if that is your policy, but now it is a choice, not a scramble.

The record also helps the next visit. On a yearly plan, the stain shows up in the past notes next time, so the next tech knows its history. For more on the tech app, visit the CarpetBossPro carpet cleaning app page.
