The Waiting List Map: Every Yearly and Six-Month Carpet Cleaning That Has Come Due

Repeat customers are the steadiest money in carpet cleaning. The family that has you out every spring, the couple with two dogs who books every six months, the office that wants its carpet done monthly. The trouble is remembering them. A yearly customer who does not hear from you in their month is a customer who calls somebody else, or nobody at all.

The Waiting List is how CarpetBossPro makes sure no repeat customer slips through.

From Route Order to What Comes Next

The previous guide, Setting Carpet Cleaning Route Order by Hand When a Customer Needs a Certain Time, was about ordering a day that is already built. The Waiting List is where days get built in the first place.

It is a live map and a list of every home that has come due for a repeat cleaning, plus new requests waiting to be scheduled. Instead of digging through last year's calendar or a spreadsheet of past customers, you open one screen and see everyone who needs you now.

How Homes Come Due

Each repeat plan in CarpetBossPro is set by minimum days between visits. A yearly whole-house cleaning might be set to 365 days. A six-month pet household might be set to around 180. Monthly office carpet maintenance might be set to 30. When a home's last cleaning was long enough ago, it comes due and appears on the Waiting List.

There is nothing to remember and no reminder to set. Complete the job, and the clock starts again from that visit. Setting up those plans is covered in Yearly and Six-Month Carpet Cleanings: Setting Minimum Days Between Visits.

Reading the Pin Colors

Every pin on the map is colored by status:

New requests from your website request form and sign-up form show alongside repeat customers, so a brand-new customer down the street from three due homes gets booked with them.

The Map Shows You Where the Work Is

The list tells you who is due. The map tells you where. That is the part that changes how you schedule.

On the map, due homes cluster. Six due pins in one neighborhood, four in another, a scattering on the far side of town. Each cluster is a day's work for a van, or half a day next to a big job. Instead of booking the next customer on the list, you book the next area. The van drives less, the crew cleans more, and customers in the same neighborhood get the same day.

If you import your customer list by CSV, the imported addresses are placed on the map automatically, so the Waiting List works from day one with your existing customers.

From the Waiting List to the Board

When you have picked a cluster, assign those homes to a van and a day. They move onto the dispatch board, carrying their carpet job details with them. Each new job fills in from that home's last job, so the rooms, add-ons and access notes are already there.

Then reach out. A text from the office along the lines of “Your yearly carpet cleaning is due, we're in your neighborhood Thursday, does that work?” is usually all it takes. Customers can also request service from the customer app, and those requests land on the Waiting List too.

Once the day is set, auto-route the van, and the customers get their night-before reminders automatically.

Working the Overdue Pins

Overdue pins deserve their own attention. A customer past due is a customer at risk. Some moved, some got busy, some will book the moment they hear from you. Work through them regularly rather than letting them pile up. The habits for that are in Overdue Carpet Cleaning Customers: Working the Red Pins Before They Forget You.

Why This Beats a Spreadsheet

A spreadsheet of past customers can tell you who you cleaned last year. It cannot tell you who is due this week, where they are, or which of them live near each other. It also goes stale the moment someone books, because nobody updates it.

The Waiting List updates itself from the jobs you complete. To see it alongside the dispatch board and routing, visit the CarpetBossPro carpet cleaning scheduling software page.
