Printing Carpet Cleaning Route Sheets for the Van

The tech app puts the whole day on a phone: jobs in route order, navigation, the job details and access notes. So why would anyone still want paper? Because some techs think better with a sheet on the dashboard, some days the phone battery dies at noon, and some owners like to hand the crew the day's plan in the morning and talk through it.

Route sheets are for those moments.

A Printed Copy of the Board

The last guide, Crew GPS on the Office Map: Knowing Where Every Carpet Cleaning Van Is, covered the office's live view. A route sheet is the opposite: a fixed snapshot of a van's day that the crew carries with them.

In CarpetBossPro, you can print route sheets from the dispatch board. Filter to a van and a day, set the route order with auto-route or by hand, and print. The sheet shows that van's day in the same order the tech sees on the phone.

When Route Sheets Help

Print After the Route Is Set

A route sheet is only as good as the order on it. Print it after the board is settled for the day:

Printing the afternoon before works well for most companies. The crew picks up their sheet in the morning, and the night-before reminders have already gone out for the same order. Routing was covered in Auto-Routing Carpet Cleaning Jobs: Closest First or Furthest First From the Shop.

Paper Does Not Update; the Phone Does

The one weakness of a route sheet is that it is frozen at the moment you printed it. If the office moves a job during the day, adds a same-day emergency or a customer cancels, the phone updates and the paper does not.

Make it a rule: the phone is the source of truth. The sheet is the plan as of this morning. When something changes, the tech's list in the app follows, and the office can text the tech to look. If changes happen often during the day, lean on the app more and the sheet less.

Keep Sensitive Notes in Mind

Carpet cleaning access notes can include gate codes, lockbox codes and garage codes. A printed sheet left on a dashboard can be read by anyone walking past the van. Think about whether codes belong on paper, and have techs keep sheets out of sight and throw them away at the end of the day.

In the tech app, those notes sit behind the company login and each tech's personal PIN, which is one more reason to treat the app as the main tool and the sheet as the backup.

What to Mark on the Sheet

Many techs like to write on their sheet as the day goes: a check next to each finished job, a quick note about the customer who wants the stairs next time, a reminder about a stain to mention. That is fine, as long as anything that matters ends up in the app too. A note scribbled on paper does not reach the office, the next tech or next year's job. Ask techs to put real notes in the job notes in the app before they tap Complete, and use the sheet for their own ticks and reminders.

Route Sheets for the Commercial Van

After-hours commercial routes are a good fit for route sheets. The evening's buildings rarely change once the day starts, and a sheet with the order and access instructions is handy in a dark parking lot. Keep a saved view for the commercial van and print its sheet in one step. Saved views are covered next.

Paper When You Want It

Route sheets do not replace the tech app; they back it up. For the morning huddle, the paper-loving tech, or the day the phone dies, a printed sheet keeps the van moving.
