Estimate Templates for Upholstery Packages: Living Room Bundles, Move-In Sets and Rug-and-Sofa Combos
If you build the same quote ten times a month, you shouldn't be building it from scratch ten times. Living room carpet plus a sofa and loveseat. A move-in whole house with deodorizer. A rug and the sofa that sits next to it. These combinations come up again and again, and estimate templates turn each one into a two-minute job.
Templates Build on Good Notes and a Good List
Good notes, covered in Upholstery Job Notes: What the Next Tech Should Know About a Customer's Furniture, help on repeat visits. Templates help on first visits, when there's no history yet and you need a solid quote fast.
In CarpetBossPro, estimates are built from your service list, and estimate templates let you save common combinations. The office picks a template, adjusts quantities, removes what doesn't apply and sends it. The customer approves online, and the approved estimate becomes the scheduled job.
Living Room Bundles
The living room is where carpet and upholstery meet. A living room template might include:
- Carpet cleaning, living room
- Sofa cleaning
- Loveseat cleaning
- Chair cleaning, optional
- Stain protector, sofa and loveseat, optional
Mark the optional lines clearly so the customer can choose. Many customers come in for the carpet and the sofa, see the loveseat line, and add it. That's the template doing your selling for you.
If you offer a bundle price, put it in the template as a clear line rather than quietly adjusting individual prices. Customers like seeing the regular price and the bundle together.
Move-In and Move-Out Sets
Move-in and move-out jobs have their own patterns:
- Move-out, empty house: whole-house carpet, spot removal, pet odor treatment if needed, deodorizer.
- Move-in, before furniture arrives: whole-house carpet, tile and grout in the kitchen and bathrooms, optional stain protector.
- Move-in, furniture already there: carpet, sofa, mattresses, optional protector.
These jobs often come with deadlines, especially when realtors or property managers are involved. A template means the quote goes out in minutes. Pricing off the property's measurements fills in the carpet and tile numbers from the square feet and rooms you have on file.
Rug-and-Sofa and Pet Packages
Some combos are worth their own templates:
- Rug and sofa: area rug cleaning plus sofa cleaning, for hardwood homes with a rug in the living room.
- Pet package: carpet rooms, pet odor treatment per room, deodorizer, plus the sofa if the pet uses it.
- Dining room set: dining room carpet or rug, plus dining chairs per chair.
- Kitchen and baths: tile and grout by area, for tile-only jobs.
Name templates the way the office thinks about them: “Pet home package” is easier to find than “Template 4.” Pet pricing is covered in Pricing Pet Odor Treatment Per Room or Per Area Without Undercharging.
Keeping Templates Current
Templates pull from your service list, so they should stay in line with your current prices. Still, review your templates once a season:
- Are the add-ons still the right ones for each package?
- Are there combinations the office keeps building by hand that should be templates?
- Are there templates nobody uses that should go?
Ask whoever answers the phone. They know which quotes they build most.
Watch which optional lines customers actually approve, too. If almost nobody takes the chair line on the living room bundle but plenty add stain protector, the template is telling you something. Move the popular add-on higher, keep the rarely chosen one as an option rather than dropping it, and see whether the next month's quotes come back with bigger approvals.
Finally, keep the number of templates manageable. A dozen well-named templates the office actually uses beat forty that nobody can find. When two templates differ by one line, merge them and mark that line optional.
Following Up and Converting
A template gets the quote out fast. Follow-up gets it approved. Estimate follow-up emails go out on their own when a customer hasn't responded, and two-way texting from the office handles questions like “Can we skip the chair?” The office edits the estimate and the customer approves online.
When the approved estimate becomes the job, every detail comes across: the rooms, the upholstery and rug checkboxes, the add-ons and the notes. The tech sees them on the job card and the matching steps on the checklist. When the tech taps Complete, the invoice is created with each line from the template and the card on file can be charged. For how templates fit with the rest of your upholstery and add-on work, see the CarpetBossPro upholstery cleaning software page.
